Refund and Cancellation Policy
This Policy explains how cancellation and refunds work for BantuHR subscriptions. It forms part of the Terms and Conditions between Zavon Holdings Group (Pty) Ltd ("Zavon Holdings", "we") and the organisation that subscribes to BantuHR ("Customer", "you").
1. Subscription cadence
BantuHR subscriptions are sold on either a monthly or an annual cadence. Fees are billed in advance at the start of each period in South African Rand.
2. Free trial
New paid subscriptions begin with a 14-day free trial of the chosen tier. No payment is required during the trial. You may cancel at any point during the trial without any charge.
If you have not added a payment method by the end of the trial, your subscription will downgrade to the free-fallback tier rather than being cancelled. The free-fallback tier preserves your account and Customer Data but limits feature access until you add a payment method and upgrade.
3. Cancellation
You may cancel your subscription at any time from the Billing section of the Platform.
- Monthly subscriptions: Cancellation takes effect at the end of the current paid month. The Platform remains fully available until that date.
- Annual subscriptions: Cancellation takes effect at the end of the current paid year. The Platform remains fully available until that date.
- Trial subscriptions: Cancellation takes effect immediately. No charge will be raised.
You retain the right to export your Customer Data at any point before cancellation takes effect and for 30 days afterwards on written request.
4. Refunds
We do not offer refunds for partial use of a paid period. The following exceptions apply.
Inadvertent renewal. If you cancel within 2 days of an automatic renewal and demonstrate that you have not made use of the Platform in that 2-day window (defined as: no new workers added, no payroll run, no leave requests processed, no documents uploaded), we will refund the renewal in full.
Material defect. If a defect in the Platform prevents you from using a feature your subscription tier entitles you to, and we are unable to remedy the defect within 14 days of you notifying us in writing, you may request a pro-rata refund for the affected period.
Statutory rights. Nothing in this Policy limits any refund right you have under the Consumer Protection Act, 2008 of the Republic of South Africa, or other applicable consumer-protection law.
Refunds are processed back to the original payment method within 10 business days of approval. Where the original payment method is no longer available, refunds are made by EFT to a verified bank account in your name.
5. Plan changes
Upgrades take effect immediately. The difference between the old and new tier is prorated against the remainder of the current paid period and added to your next invoice.
Downgrades take effect at the end of the current paid period. No refund is due for the downgraded portion of the current period.
6. Suspension and termination by us
We may suspend or terminate your subscription for material breach of the Terms and Conditions or the Acceptable Use Policy. Suspension or termination by us for cause does not entitle you to a refund of the current paid period.
If we terminate your subscription for convenience under section 11 of the Terms and Conditions, we will refund the unused portion of the current paid period on a pro-rata basis.
7. How to request a refund
Email billing@bantuhr.com with:
- The legal name of your organisation on the BantuHR account.
- The Customer-account reference number (visible in the Billing section).
- The invoice number(s) the refund relates to.
- A brief description of the reason for the request.
We will respond within 5 business days. Where a refund is approved, it will be processed within 10 business days of approval.
8. Changes to this Policy
We may update this Policy from time to time. Material changes will be notified to Customers at least 30 days in advance. Continued use of the Platform after the effective date of a change constitutes acceptance.
